Booking automation

Bookings handled by your rules, not by whoever picks up.

ReceptOwl checks your availability, offers real times and books them — or, if your diary isn’t connected, takes a complete booking request for your team to confirm. Either way, the customer knows exactly where they stand.

What it does

Booking, the way you’d do it yourself.

  • Real availability

Where your calendar or booking software is connected, it offers only times that are actually free.

  • Your rules

Durations, buffers, which services when, how far ahead and how late — set once, followed every time.

  • Booking requests

Paper diary? No problem. It takes everything your team needs to confirm in seconds.

  • Confirmations and reminders

By text, WhatsApp or email, where the customer has agreed.

  • Changes and cancellations

Moves and cancels within your rules where connected; otherwise it passes the request on.

  • Always clear

Customers are told whether they’re booked or waiting for confirmation — never left guessing.

How it works

Booked, or requested — and everyone knows which.

  1. 01

The customer asks for a time

By phone, WhatsApp, chat or email.

  2. 02

    It checks the diary

Live availability where connected; your rules either way.

  3. 03

    It offers real options

Two or three times that suit your rules and the customer.

  4. 04

    It books — or requests

Confirmed in your calendar, or sent to your team to confirm.

  5. 05

    Confirmation goes out

And a reminder before the appointment, where agreed.

Straight answers

Good to know.

Knowing the limits is what makes it safe to put in front of your customers.

How it works in practice

  • Confirmed bookings need a calendar or booking system we can connect and test. Many have integrations; some don’t — we tell you which applies before you commit.
  • It only books times your calendar shows as free, and confirms only once the calendar has accepted the booking.
  • Deposits and payments stay in your booking or payment system; it can send your payment link but never takes card details.

What it won’t do

  • Double-book a slot
  • Confirm a booking when your diary isn’t connected
  • Override your rules for a pushy customer
  • Take payments in the conversation

Tailored demo

Build your receptionist.

Answer six quick questions and watch it take shape. We then build a demo around your business — your services, your hours, your customers’ questions — and show you how it handles them.

  • A demo built on your own services, hours and questions
  • Your receptionist, with the name and manner you chose
  • A clear picture of going live: channels, connections, cost

Free, no obligation. We never contact your customers, and nothing is connected to your systems for the demo.

Questions

Good to know.

Something we haven’t covered? Ask us directly.

Which calendars does it work with?
Google Calendar and Microsoft Outlook calendars, and booking software that offers an integration we can use. We check yours during setup and test it before it goes live.
What if two people want the same slot?
It only confirms a booking once your calendar has accepted it. If a slot has just gone, it offers the next free times.
Can customers move or cancel?
Yes, within your rules — for example not within 24 hours. Where your diary isn’t connected, it takes the request for your team.
What if I don’t want it to book directly?
Then it takes booking requests only. Many businesses start that way and connect the calendar later.

You can close for the night. Your front desk doesn’t have to.
