The problem

Where enquiries get lost.

  • 01

    Clinicians can’t answer mid-session

In a small clinic, the person treating patients is often the person answering the phone. Every call during a session is a missed call.

  • 02

    Evening enquiries go cold

People look for a physio in the evening, when the pain is on their mind. A voicemail doesn’t book them in.

  • 03

    Admin eats clinical time

Rescheduling, insurance receipts and “do you treat…?” questions pile up between appointments.

Built for your front desk

The questions it answers. The details it takes.

Handles

  • New and follow-up appointment bookings
  • Which treatments you offer, and with whom
  • Fees you publish and your cancellation policy
  • Health insurance receipts and claim questions, from your approved answers
  • Opening hours, location, parking and accessibility
  • Moving and cancelling appointments within your rules

Collects

  • Name and mobile number
  • New or returning patient
  • Type of appointment — not symptoms or history
  • Preferred practitioner, days and times
  • How they heard about you, if you’d like to know

What happens next

Every enquiry ends with a clear next step.

  1. 01

    Booked appointment

Where your booking system can be connected and tested, it books real slots with the right practitioner.

  2. 02

    Appointment request

Otherwise, a complete request for your team to confirm, with the patient told when to expect it.

  3. 03

    Clinical questions to a clinician

Anything about symptoms or treatment becomes a call-back task with a short summary.

  4. 04

    Reminders and forms

A reminder the day before and your intake form link, where the patient has agreed.

Straight answers

Straight to you when it matters.

ReceptOwl handles the everyday on its own. You decide what should come straight to you — these are the usual rules, and yours may differ.

Comes straight to you when there’s…

  • Anything about symptoms, injuries, treatment or medication
  • Someone who sounds distressed or at risk — with your approved safety message
  • Complaints and billing disputes
  • Insurance questions beyond your standard answers
  • The patient asks to speak to someone at the practice

What it won’t do

  • Give medical advice, triage symptoms or recommend treatment
  • Collect medical history in the conversation
  • Confirm a slot unless your diary is connected and tested

Works with what you use now.

Clinic booking systems vary. Where yours offers an integration we can use and test, ReceptOwl books directly with the right practitioner. Where it doesn’t, appointment requests go to your team and patients are told you’ll confirm.

A good fit if…

  • Clinicians answer their own phones between sessions
  • You miss calls during treatment hours
  • Evening enquiries are common
  • You want fewer admin calls interrupting clinics

Tailored demo

Build your receptionist.

Answer six quick questions and watch it take shape. We then build a demo around your business — your services, your hours, your customers’ questions — and show you how it handles them.

  • A demo built on your own services, hours and questions
  • Your receptionist, with the name and manner you chose
  • A clear picture of going live: channels, connections, cost

Free, no obligation. We never contact your customers, and nothing is connected to your systems for the demo.

Questions

Clinics: questions.

Something we haven’t covered? Ask us directly.

Is an AI receptionist appropriate for a clinic?
It’s set up for admin, not care: bookings, general questions and handover. It gives no medical advice and passes anything clinical to your team. If someone describes an emergency, it tells them to ring 112 or 999.
What about patient privacy?
It collects only what’s needed to book, not health details. We agree where conversations are stored and for how long, and a data processing agreement is in place before any real patient data is handled.
Can it tell patients which practitioner to see?
It offers the practitioners and appointment types you list and follows simple rules you set — for example, new patients book a 45-minute assessment. It never decides what someone needs clinically.
Do patients need an app?
No. They call, message or use your website chat the way they do now.
