ReceptOwl

AI front desk for salons, barbers & beauty

Keep your hands on the client, not the phone.

ReceptOwl answers calls, WhatsApps and website chat while you’re mid-cut, books clients in with the right stylist, sends the reminders they’ve agreed to and follows your rules on patch tests, deposits and cancellations.
Illustrative example for a salon: “A quick reminder: your haircut is tomorrow at 9am.” — Reminder sent.

ReceptOwl for salons

The problem

Where enquiries get lost.

  • 01

Scissors in one hand, phone in the other

Stopping mid-cut to answer isn’t fair on the client in the chair. Letting it ring isn’t fair on the one trying to book.

  • 02

Messages pile up by the evening

WhatsApps about prices and free slots wait until you’re done for the day — and some clients book elsewhere in the meantime.

  • 03

    No-shows cost you the slot

A forgotten appointment is an hour nobody can book. Reminders help, but sending them by hand takes time you don’t have.

Built for your front desk

The questions it answers. The details it takes.

Handles

  • Bookings with the right stylist, service and duration
  • Prices you publish for cuts, colour and treatments
  • Patch-test and consultation rules
  • Your deposit and cancellation policy — explained, never collected in the chat
  • Opening hours and late nights
  • Moving and cancelling within your rules
  • Gift voucher questions

Collects

  • Name and mobile number
  • Service and preferred stylist
  • Preferred days and times
  • New or returning client
  • Anything the stylist should know — “going lighter”, “short back and sides”

What happens next

Every enquiry ends with a clear next step.

  1. 01

    Booked appointment

Where your booking software can be connected, it books the right service with the right stylist.

  2. 02

    Booking request

Otherwise, a request with everything the salon needs, and the client told you’ll confirm.

  3. 03

    Reminders

The day before, by text or WhatsApp, where the client has agreed.

  4. 04

    Cancellation list

Clients who’d take an earlier slot are noted for your team.

Straight answers

Straight to you when it matters.

ReceptOwl handles the everyday on its own. You decide what should come straight to you — these are the usual rules, and yours may differ.

Comes straight to you when there’s…

  • Complaints about a service
  • A reaction or skin concern — with your approved advice to seek medical help
  • Bridal and group bookings that need a consultation
  • Refunds and price disputes
  • The client asks to speak to someone at the salon

What it won’t do

  • Take card details or deposits in the conversation — your booking system does that
  • Promise a stylist or a time your diary doesn’t show
  • Give medical advice about reactions

Works with what you use now.

Most salons use online booking software. Where yours has an integration we can use and test, ReceptOwl books directly into it. Where it doesn’t, requests go to the salon and the client is told you’ll confirm.

A good fit if…

  • You miss calls while you’re working
  • Clients message after hours
  • No-shows are a problem
  • Clients ask the same price questions

Tailored demo

Build your receptionist.

Answer six quick questions and watch it take shape. We then build a demo around your business — your services, your hours, your customers’ questions — and show you how it handles them.

  • A demo built on your own services, hours and questions
  • Your receptionist, with the name and manner you chose
  • A clear picture of going live: channels, connections, cost

Free, no obligation. We never contact your customers, and nothing is connected to your systems for the demo.

Questions

Salons & barbers: questions.

Something we haven’t covered? Ask us directly.

Can it book with a specific stylist?
Yes, where your booking software is connected: it books the service with the stylist the client asks for, or offers whoever’s free. Without a connection, it takes the request and the salon confirms.
Does it follow our patch-test rules?
Yes. You tell us the rule — for example a patch test 48 hours before any first colour — and it books and reminds accordingly, and explains why to the client.
Can it take deposits?
It explains your deposit policy and, where your booking system supports it, sends the payment link. It never asks for card details in the conversation.
Will it reply on WhatsApp?
Yes, using the WhatsApp Business Platform. Reminders sent outside WhatsApp’s 24-hour reply window use message templates approved by Meta.
